How it works
Paperwork done before you’ve packed up.
Priced from your own list
Keep your services and parts at their usual price, and pick them to fill a quote in a tap. The tax is worked out per rate and the total adds up, every time.
Signed on the spot, or online
Hand the customer your phone and they sign with a finger. Or share the quote’s link: they read it, download it and sign it from the sofa, and you get an e-mail when they do.
One tap to the invoice
A sent quote becomes a draft invoice with the same lines. Check it and issue it: it takes the next number and can’t be changed afterwards. Download the PDF to send it.
Paid, overdue, at a glance
Mark an invoice paid on the day the money lands. Past its due date it turns overdue and shows up first thing in your agenda. A credit note takes back all or part of one.
Receipts, with the photo
At the merchant’s, snap the paper receipt and say who you paid, how much and what for. It gets its own number to write on the paper, so nothing goes missing.
One archive for your accountant
Pick a period and download it all in one go: sales, VAT per rate, expenses, the photos of your receipts and every invoice as an e-invoice. Files any accounting software reads.
Compliant paperwork
The rules, kept for you.
Every quote and invoice carries what the tax rules ask for where you work, numbered without gaps and kept digitally. Register once, and e-invoices go to business customers on Peppol, the network that carries invoices straight into their accounting software.
United Kingdom
Quotes and invoices carry what HMRC asks for: your details, a unique number, the date, the VAT number and VAT per rate when you are registered.
- VAT at 20%, 5% or 0%, or none if you are not VAT-registered.
- E-invoices: the UK plans to require them for VAT invoices between businesses from April 2029. Hexvan already sends them on Peppol.
- Making Tax Digital: Hexvan isn’t MTD software and doesn’t file with HMRC. It keeps your sales and expenses digital and exports them for your accountant or your MTD software.
Ireland & Europe
Quotes and invoices carry what EU VAT rules ask for: sequential numbers, both parties’ details and VAT numbers, VAT per rate. Invoices to businesses can go out as e-invoices on Peppol, ahead of Ireland’s 2028 rules.
- VAT at 23%, 13.5% or 0%, or none if you are not VAT-registered.
- E-invoices: Belgium has required them between businesses since January 2026, Ireland starts with its largest businesses in 2028, and the rest of the EU follows step by step.
- Your returns stay with your accountant: Hexvan exports each period’s sales, VAT per rate and expenses for them.
Canada
Quotes and invoices carry what the CRA asks for: your business name and GST/HST number, the date, the customer, and the tax charged per rate.
- Records: the CRA asks you to keep them for six years. Hexvan keeps them digital and exports each period for your accountant.
- Your returns stay with your accountant: Hexvan doesn’t file GST/HST or income tax returns.
Questions
Questions about quotes and invoices
Do my customers need an account to sign?
No. They open the quote’s link, read it, download it and sign it with a finger. Or they sign on your phone, right there in the kitchen. Who signed, when and from where is kept with the signature.
Can I change an invoice once it’s issued?
No, and that’s the rule, not us being awkward. An issued invoice keeps its number and what it says. To put it right, write a credit note for all or part of it.
Can I carry on my invoice numbers?
Yes. Set the next number of your quotes, invoices and credit notes in the settings, and Hexvan carries on from there, without gaps. It never gives the same number twice.
Does Hexvan file my tax return?
No. Hexvan keeps your sales and expenses digital and hands your accountant one archive per period. It isn’t Making Tax Digital software and doesn’t file anything with HMRC.
I’m not VAT-registered. Does it still work?
Yes. Switch the tax off in the settings and your quotes and invoices go out without VAT. Registered later? Switch it on, with your VAT number and your usual rate.
